Schedule, update and withdraw a post

Schedule an approved post for a time or its calendar date, update a live page with a newer version, or withdraw a post so the destination deletes it.

Updated

You can publish an approved post now, schedule it for a time or its calendar date, update a live page with a newer approved version, or withdraw it. Scheduling and updating are open to owners and editors; withdrawing is for owners in the web app.

Schedule a post

  1. Open the approved draft and go to Publishing.
  2. Pick the destination.
  3. Under When, choose On the calendar date (for a post drafted from your calendar) or At a date and time.
  4. Choose the schedule button and confirm.

Where the destination can hold a scheduled post itself (Ghost, WordPress, HubSpot and Shopify), Wavefront sends it right away with the time and the destination publishes it then. Otherwise, Wavefront starts the publish within 5 minutes of the time.

The approval is checked again when the post goes out. If a newer version of the piece exists by then, nothing is sent, and you can move the schedule to the new version.

To schedule every approved calendar post automatically, an owner turns on Publish approved posts on their calendar date. See autopilot and auto-approve.

Change or cancel a schedule

On the scheduled post’s Publishing box:

  • Reschedule, pick the new time, and Save time.
  • Cancel schedule stops it. Nothing is published at that time, and you can publish or schedule it again later. If the destination was holding the post, Wavefront deletes it there, or turns it back into a draft where it can’t delete.
  • If a newer version is approved, the box offers to schedule that version instead.

A post the destination holds can’t be moved or cancelled in its last 5 minutes. A piece has at most one schedule per destination.

The Library filters Scheduled, Published and Not scheduled show where everything stands. Scheduled posts also show on the calendar with their time.

Update a live page

When an earlier version of the same piece is already at a destination, the publish button reads Update the published page. The update:

  • keeps the slug and URL, so links and search ranking carry over;
  • replaces the content of the existing post rather than creating a second one;
  • shows in the publication’s History, with every version sent.

If someone deleted the post at the destination by hand, Wavefront creates it again.

Social posts can’t be edited once they’re up. To change one, withdraw it first, then post the new version.

Withdraw a post

  1. Open the draft and find the publication in Publishing.
  2. Choose Withdraw. The confirmation explains what happens at that destination.
  3. Wavefront asks the destination to delete the post, checks that it’s gone, then marks the publication withdrawn.

Withdraw works on posts that are published, created as drafts, scheduled, or failed after reaching the destination. For a webhook destination, Wavefront sends your receiver a signed delete event and counts its success answer as confirmation.

Some destinations can’t delete posts for Wavefront. The box then says so and lists the steps. Delete the post at the destination, then choose Mark withdrawn. Wavefront checks it’s gone first.

A withdrawn version can be published again later. Withdrawing a newsletter post doesn’t unsend an email that already went out.

Who can do what

Action Owner Editor Agent or API key
Publish and schedule approved work Yes Yes Yes, except social networks
Reschedule or cancel a schedule Yes Yes Yes, except social networks
Withdraw, or mark withdrawn Yes, in the web app No No

If something goes wrong

  • Withdraw failed. The post may still be live. The box shows the error. Fix the cause, such as an expired token, and choose Withdraw again.
  • A scheduled post didn’t go out. Check the publication’s error. A schedule fails when the approval was withdrawn or a newer version exists.
  • A schedule says the destination wouldn’t take back the post. The destination refused a cancel or reschedule, so the post is still held for its old time. Change or delete it at the destination.
  • A calendar post shows Missed. It was approved but never published. Publish or schedule it now.
