Invite your team to a workspace
Owners invite people by email from the Team page and pick a role. Invitations last 14 days, and anyone can join with or without an existing account.
Updated
Owners invite people from the Team page by entering their email addresses and choosing a role. Each person gets an email with a link. There’s no limit on seats: invite as many people as you need.
Send invitations
- Open Team in the sidebar and choose Invite people.
- Enter one or more addresses in Email addresses. You can paste several at once.
- Under Role, pick Owner, Editor or Viewer. Everyone in this batch gets the same role.
- Choose Send invitation (or Send N invitations).
To choose a role: editors review, approve and publish. Viewers read and comment. See signing in and roles.
What the invited person does
- No account yet. The link opens the sign-in page with their address filled in. They sign in with that email and join the workspace in the same step.
- Already has an account. They see the invitation when they open the workspace link, on the workspace picker and on Account, and choose Accept and join or Decline.
They must sign in with the address you invited. An invitation can’t be accepted by a different email.
Manage pending invitations
Owners see Pending invitations on the Team page, with when each was sent and when it expires.
- Invitations expire 14 days after the last send.
- Resend sends the email again and renews the 14 days. You can resend after a minute.
- Revoke an invitation to make its link stop working. You can invite them again later.
A workspace can have up to 50 pending invitations and send up to 25 a day.
If the email couldn’t be sent, the person is still added as pending, and the page says so. Use Resend to try again.
Remove someone
On Team, an owner removes a member with the remove button and confirms. They lose access right away. Their work stays in the workspace, API keys they created are revoked, and review requests to them are cleared.
Leave a workspace
Anyone can choose Leave workspace at the bottom of the Team page. You lose access right away, and your work stays. An owner can invite you again. The only owner can’t leave until they make someone else an owner.
Working with clients and agencies
Each client or site gets its own workspace, so invitations, documents and billing stay separate. Invite a client as a viewer to let them follow along and comment, or as an editor to let them approve. One person can belong to many workspaces and switch between them from the sidebar.
Who can invite
Only owners invite people, change roles, resend or revoke invitations, and remove members. These changes happen in the web app; agents and API keys can list the people in a workspace but can’t change membership.
If something goes wrong
- The invitation email didn’t arrive. Ask them to check spam, then choose Resend.
- The invitation expired. Choose Resend to renew the 14 days.
- They signed in but don’t see the workspace. They may have signed in with a different email. They should sign out and sign in with the invited address.
- You can’t change your own role. A workspace needs at least one owner. Make someone else an owner first.
